Quick Guide to Using CPOMS (Child Protection Online Monitoring System).
The Purpose of CPOMS
Safeguarding and Well Being recording incidents/concerns and disclosures whilst informing of actions taken. Monitored by the Safeguarding Team (SGT) and SLT to ensure all appropriate actions are taken to safeguard all.
We also record incidents of behaviour using CPOMs so that this is in one place and can be monitored and actioned appropriately.
Any incident or concerns that occurs onsite, off site or via a conversation with parents must be recorded in a timely manner (please see the Running Deer Safeguarding Policy also).
Staff will have a personal log in which should not be shared. A secure password should be used. If at any time you have access problems to CPOMs, please inform a member of the Safeguarding Team.
CPOMS Dashboard
- Add Incident and select the Safeguarding or Behaviour Concern tab.
- No need to assign, we will do that, and SG team are automatically notified of any incidents added.
- Blanked screen tab will blank the screen quickly to protect information should you need to, i.e. student approaches.
- Completing an incident form
- Search name by typing in the first few letters of the name and ensure you have the correct student.
- Write up incident in full.
- Can link other students involved [- Only where the concern involves them, too, not just because they are involved].
- If there is a mark of any description - add to the body map
- USE facts and C (Concern); R (Risk); A (Action) (DSL/DDSL to use J (justification) too).
How to record on CPOMS
Always start your entry as I (Your Name) then your job title. Record the incident, voice of the child [no quotation marks] and immediate action you have taken up to the point of recording. Paramount that the voice of the child is included, wherever possible. Voice of the parent may also be available, as appropriate.
Ensure that the alert created has full names and not initials.
Use facts and not opinions (NB: CPOMs can be used in a court case and only fact will be considered.
Write in a timely manner, add alerts as soon as possible. If there is an immediate risk, then speak to the safeguarding team immediately [DSL or DDSL]
Record as much factual information as possible.
Record and update with your action. It is your responsibility to take action. CPOMS is not a communication tool. *If an action can’t be added to a previous entry due to your access rights, please create a new incident with actions taken and this will be merged by the SG Team to the original incident.
All alerts will be scrutinised on a daily basis [however, do not assume a DSL/DDSL has seen something if there is immediate risk] and if follow up from you is required, you will receive an email [CPOMs Action] for your immediate action.
